2. Introduction & Legal Framework

2.1. For the purposes of this policy, Personal Information will be understood in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”). We subscribe to the principles for electronically collecting personal information outlined in POPIA and the Electronic Communications and Transactions Act 25 of 2002 (“ECT Act”).

2.2. In adopting this Privacy Policy, we balance our legitimate business interests with your reasonable expectation of privacy. We will take all reasonable steps to prevent unauthorised access to, or disclosure of your Personal Information. However, no digital system is 100% secure.

2.3. Governing Law: This Privacy Policy is governed by the laws of the Republic of South Africa.


3. Data We Collect

3.1. We may collect the following types of information when you use AI Bill Splitter:

3.1.1. Information You Provide:

  • Receipt images and photos you upload for bill scanning
  • Text input (meal descriptions, person names, amounts)
  • Voice commands (converted to text on your device using Apple/Google speech recognition; the audio itself is not sent to our servers)
  • Contact names (only when you grant permission for contact matching)
  • Phone number (if required for authentication)

3.1.2. Automatically Collected Information:

  • Device information (model, OS version, device ID)
  • Advertising ID (IDFA on iOS, AAID on Android) – used by Google AdMob for personalized advertising
  • Storage information (free space, for AI model compatibility checks)
  • App usage data and analytics
  • IP address and ISP information
  • Crash reports and error logs

3.1.3. Permissions We Request:

  • Camera access (to scan receipts)
  • Photo library access (to upload existing receipt images)
  • Contacts access (optional – to match person names with contact photos)
  • Storage access (to save bills and download AI models)

3.2. We do NOT collect sensitive information such as racial/ethnic origins, political beliefs, or religious affiliations unless you provide explicit consent or as permitted by law.


4. On-Device AI Processing (Privacy-First Approach)

4.1. Local Processing: AI Bill Splitter uses on-device AI models for meal allocation and splitting. Once bill items are extracted, all meal allocation, splitting calculations, and AI-assisted organization happen locally on your device.

4.2. AI Model Downloads: You may choose to download AI models (1-3GB in size) to enable on-device processing. These models are stored locally on your device and can be deleted at any time.

4.3. Backend Communication: Your data is transmitted to our servers in the following cases:

  • Initial Bill Scan: When you provide free text or image input to scan a bill, this data is sent to our backend API for processing and extracting meal items, prices, and quantities. This includes receipt images and any text descriptions you provide.
  • QR Code Sharing: When you explicitly use the QR code sharing feature to share bills with others (see section 5.2).

Note: After initial bill extraction, all subsequent meal allocation, splitting, and AI-assisted organization happens locally on your device using on-device AI models.


5. How We Use Your Data

5.1. We use your information for the following purposes:

  • To provide bill scanning and splitting services
  • To match person names with contact photos (with your permission)
  • To improve AI model accuracy and app functionality
  • To assess device capability for running AI models
  • To respond to your queries and support requests
  • To detect and prevent fraud or abuse

5.2. QR Code Sharing: When you create a QR code to share a bill with others:

  • Your bill data is uploaded to our secure servers
  • A temporary download token is generated
  • Recipients can scan the QR code to import the bill
  • Shared data is stored temporarily and may be deleted after a retention period

5.3. Legal Basis for Processing (POPIA Compliance):

  • Consent: You provide explicit consent when using features
  • Legitimate Interest: We process data to improve app functionality
  • Legal Obligation: We may process data to comply with applicable laws

6. Data Storage & Retention

6.1. Local Storage: Bill data, transactions, and meal allocations are stored locally on your device using SQLite database.

6.2. Server Storage: When using QR code sharing, data is stored on our on-premises servers located in Bathurst Bend, Cape Town, South Africa. Data is encrypted in transit and at rest.

6.3. Retention Period: We retain your personal information only as long as necessary:

  • Local data: Stored until you delete the app or clear app data
  • Shared bills (via QR): Retained for 90 days, then automatically deleted
  • Analytics data: Aggregated and anonymized, retained for 24 months

6.4. Cross-Border Transfers: Our servers are located within South Africa. Your data remains within the country and is not transferred internationally.


7. Data Security

7.1. We implement reasonable technical and organisational security measures including:

  • Encryption of data in transit (HTTPS/TLS)
  • Secure local database storage
  • Access controls limiting employee access to personal data
  • Regular security assessments and updates

7.2. While we strive to protect your information, no system is completely secure. You use the app at your own risk.

7.3. Data Breach Notification: In the event of a data breach affecting your personal information, we will notify you and the Information Regulator as required by POPIA within 72 hours of becoming aware of the breach.


8. Sharing & Disclosure of Information

8.1. We do NOT sell or rent your personal data to third parties.

8.2. We may share information in the following limited circumstances:

  • With your consent: When you explicitly authorize sharing
  • Service Providers: Third-party services that help us operate the app (see section 8.3 for Google AdMob details)
  • Legal Requirements: When required by law, court order, or government request
  • Business Transfers: In the event of a merger, acquisition, or sale of assets

8.3. Google AdMob (Advertising & Analytics):

  • We use Google AdMob to display advertisements in our app.
  • AdMob may collect and process your Advertising ID (IDFA on iOS, AAID on Android) to serve personalized ads.
  • AdMob may also collect device information, IP address, app usage data, and ad interaction data for advertising and analytics purposes.
  • You can opt out of personalized advertising through your device settings:
    • iOS: Settings → Privacy & Security → Tracking → Disable “Allow Apps to Request to Track”
    • Android: Settings → Google → Ads → Opt out of Ads Personalization

8.4. Analytics & Crash Reporting:

  • We may collect anonymized analytics data and crash reports to improve app performance and user experience.
  • This data is aggregated and cannot be used to identify individual users.

8.5. Any anonymized, aggregated data (that cannot identify you) may be used for analytics or research purposes.


9. Your Rights (POPIA Section 11)

  • Local data: Uninstall the app or clear app data in device settings

10. Children’s Privacy

10.1. AI Bill Splitter is not intended for children under the age of 13.

10.2. We do not knowingly collect personal information from children under 13. If you are under 18, you must have parental or guardian consent to use the app.

10.3. If we become aware that we have collected information from a child under 13, we will take steps to delete such information promptly.


11. Third-Party Links

11.1. The app may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties.

11.2. We recommend reviewing the privacy policies of any third-party services you access through our app.


12. Cookies & Tracking Technologies

12.1. As a mobile application, AI Bill Splitter does not use traditional browser cookies.

12.2. We may use local storage and similar technologies to store preferences and session data on your device.

12.3. If you access our website or web-based features, standard web cookies may be used for analytics purposes.


13. Log Files & Analytics

13.1. When you use the app, we may collect:

  • IP address
  • Device type and OS version
  • App version
  • Timestamps of actions
  • Error logs and crash reports

13.2. This information is used to improve app performance, diagnose issues, and understand usage patterns.

13.3. Log data is aggregated and anonymized where possible and cannot be used to identify individual users.

16.1. By using AI Bill Splitter, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy.
